The Executive Assistant (EA) to the CEO is a high-trust, high-impact role responsible for optimizing the CEO’s time, focus, and strategic effectiveness.
Key Responsibilities:
1. Strategic Calendar & Schedule Management
• Own and manage the CEO’s calendar with proactive planning.
• Schedule internal and external meetings aligned with strategic priorities.
• Anticipate conflicts and optimize time allocation weekly and monthly.
• Ensure meeting readiness (briefs, documents, context notes).
• Coordinate travel logistics (local & international).
• Protect deep work time and reduce low-value engagements.
2. Task Delegation & Operational Support
• Take ownership of low-level administrative and operational tasks.
• Track action items from meetings and ensure follow-through.
• Assist in prioritizing initiatives across departments.
• Prepare summaries, reports, briefs, and dashboards.
• Support execution of strategic projects.
3. Deep Working Knowledge of 8thGear Business Strategy
• Develop thorough understanding of:
• Venture Studio model, Hub Services
• Growth Advisory Programs & Impact Initiatives
• Align CEO activities with company goals and quarterly objectives.
• Support strategy execution tracking.
• Prepare strategic memos and research insights.
• Serve as internal bridge between CEO and senior leadership.
4. CEO’s Office & Visitor Management
• Greet and screen visitors professionally.
• Coordinate meeting logistics (rooms, tech, catering).
• Ensure smooth executive meeting flow.
• Maintain a high-standard executive office environment.
• Handle confidential matters with discretion and integrity.
5. Communication & Correspondence Management
• Draft, edit, and respond to emails on behalf of the CEO.
• Prepare presentations, reports, and board materials.
• Manage sensitive communications with professionalism.
• Track follow-ups with partners, investors, and ecosystem stakeholders.
• Answer calls and respond to inquiries where appropriate.
6. Administrative & Office Management Duties
• Organize reports, contracts, and documentation.
• Manage expense reporting and reimbursements.
• Maintain filing systems (digital & physical).
• Ensure operational readiness of the CEO’s workspace.
• Coordinate internal documentation flow.
