Overview
Under the general supervision of the Senior Finance Officer, the Finance Archive Assistant provides support to the finance department by managing the filing system, tracking incoming/outgoing cheques and letters in a logbook, routing documents for signature, scanning and uploading documents to SharePoint, assisting with bank correspondence, assisting with VAT reports, managing petty cash, and maintaining records

Reporting Structure:
• Position Reports To: Senior Finance Officer
• Position Supervised: None
Responsibilities
• Handling the activities of records and archives of the financial documents
• Responsible for arranging and filing and labeling all documents properly and putting on “PAID” stamp and keeping information confidential.
• Ensure timely and accurate documentation and filing of all financial documents in both the soft and Hard copy.
• Ensure that financial documents are ready for both internal and external audit
• Record vendor payment information on ERCA Website with Jhpiego account monthly
• Support the Vendor Registration processes and keep the filing if VR updated both the scan copy and hard copy
• Keeping used and unused financial pre-numbered printed documents (CRV, Cheques, WHT) in safe custody and control usage by maintaining a register.
• Responsible for copying, scanning, documenting, uploading, retrieving financial documents upon request, labeling file boxes,
• Prepare Checks, Telegraphic Transfers (TT), and handles routing for signatures.
• Preparing withholding Tax receipt to vendors and consultants
• Act as focal person to inform vendors/staff to collect checks, follow up on timely settlements, and update the team or requester on payment status once transferred to the bank, attaching the payment advice.
• Assisting with the VAT Refund claim report preparation for USAID.
• Maintain other records and registers as required
• Develop and maintain excellent relationships with colleagues and partners.
• Perform other duties as assigned
Required Qualifications
• Diploma in Accounting from recognized Institution with two years relevant experience.
• Computer literacy and working knowledge of Excel, Ms-Word.
• Ability to communicate orally and in writing in English and Amharic.
Required Skills & Abilities:
• Demonstrated ability to handle detail-oriented tasks and be organized.
• Good communication and interpersonal skills to work in a multi-disciplinary team setup.
• Strong team player with multi-tasking and prioritization skills
Salary: Between 7,901 – 11,289 USD per annum.
