P4G 2027 ETHIOPIA SUMMIT CONSULTANT – Job Description
ABOUT THE PROGRAM
P4G - Partnering for Green Growth and the Global Goals 2030 - contributes to green and inclusive growth in emerging markets and developing economies by helping early-stage climate businesses become investment ready and supporting national climate startup ecosystems across the food, water, and energy sectors. Hosted by World Resources Institute and funded by Denmark, the Netherlands, and the Republic of Korea, P4G partner countries include Colombia, Ethiopia, Indonesia, Kenya, South Africa, and Vietnam.
SUMMARY
World Resources Institute (WRI), as host to the P4G Secretariat, intends to award a consulting agreement to support the planning and execution of the 2027 P4G Summit hosted by the Federal Democratic Republic of Ethiopia.
The consultant will serve as the incountry coordination and event management lead for the 2027 P4G Summit in Ethiopia. While the primary emphasis is on managing and aligning all event related workstreams (including logistics, stakeholder coordination, communications, and government processes) the consultant will also support and coordinate agenda related activities.
The consultant must have valid authorization to work in Ethiopia and comply with Ethiopian laws.
SCOPE OF WORK & LEVEL OF EFFORT
· Part‑time (up to 20 hours/week) during early planning, transitioning to full‑time (40 hours/week) six months prior to the Summit.
· Reports directly to the P4G Secretariat, as designated within the Secretariat team, and collaborates closely with the Ethiopia Summit Organizing Committee and the P4G Ethiopia National Platform.
· Based in Addis Ababa, with domestic travel as needed.
WHAT YOU WILL DO
Summit Coordination, Program and Event Management (40%)
• Serve as the primary coordination lead between the P4G Secretariat, the Ethiopia Summit Organizing Committee, and the P4G Ethiopia National Platform.
• Represent the P4G Secretariat (Hub) in all in‑country Summit meetings.
• Lead in‑country preparations, aligning Ethiopia’s Summit planning with P4G’s strategic priorities.
• Share P4G information: current operations, National Platforms, partnerships, and lessons learned from previous Summits.
• Provide operational and substantive support to the P4G Secretariat and WRI Ethiopia on stakeholder engagement, including development of materials, coordination of meetings, and follow-up actions, amongst others.
• Work with the P4G Secretariat, the Ethiopia Summit Organizing Committee, and the P4G Ethiopia National Platform to develop an invitation list for the Summit.
• Support P4G team with drafting of core Summit materials including the overall Summit concept note, session concept notes, speaker briefs, logistics pack, and run‑of‑show documents as needed.
• Maintain and coordinate a central speaker list with the Summit Organizing Committee.
• Support the P4G team by collecting inputs and helping draft any documents needed for pre-Summit planning visits.
• Serve as the central liaison for Summit communications between P4G and the host country communications team.
Summit Logistics Coordination (40%)
• Support planning of venue selection, room allocation, catering, interpretation, security, accommodations and transportation.
• Coordinate logistics for P4G delegations, including support with visas, hotel blocks, transportation, Summit registration, badges and meeting room needs.
• Support planning of side events including exhibitions, innovation showcases and cultural programming.
• Support P4G team with vendor identification and management for branding needs related to Summit gifts, banners and other material printing needs.
• Identify and manage local video and photography crews.
• Provide light translation of Summit materials between Amharic and English.
Meeting Coordination (15%)
• Coordinate Summit Organizing Committee meetings including agenda setting, invitations, logistics, note‑taking and follow‑up.
• Track approvals for key planning decisions and maintain structured documentation, decision logs and action tracking.
• Coordinate and organize regular P4G Secretariat internal Summit planning meetings, including scheduling, preparing agendas, circulating materials, documenting decisions and ensuring follow‑up on action items.
Summit Handbook & Post‑Summit Activities (5%)
• Draft and finalize a P4G Ethiopia Summit Handbook documenting Ethiopia’s Summit planning process, workflows, timelines, lessons learned and recommendations.
• Incorporate feedback from the P4G Secretariat, the Summit Organizing Committee and the P4G Ethiopia National Platform.
• Support any additional post‑Summit reporting or learning dissemination.
CONSULTANT QUALIFICATIONS
Required
• Minimum 5 years of experience in event planning, event management, or large‑scale coordination roles, preferably within international development or global program environments.
• Demonstrated experience working with the Government of Ethiopia and Ethiopian public‑private stakeholders.
• Proven experience working in international contexts, including coordination with foreign organizations, embassies, international development agencies, bilateral and multilateral donors, global NGOs, multilateral institutions, and other international or foreign government entities.
• Experience supporting or managing high‑profile events, conferences, summits, or major multi‑stakeholder meetings.
• Strong skills in logistics planning, stakeholder coordination, vendor management, and the execution of complex events.
• Fluency in Amharic and English, written and spoken.
• Excellent interpersonal and communication skills, with the ability to engage diverse stakeholders and maintain strong relationships.
• Strong organizational skills and attention to detail, with the ability to manage multiple priorities in fast‑moving environments.
• Ability to work independently, exercise mature judgment, and uphold high standards of professionalism and integrity.
• Flexibility to work across global time zones and to travel domestically (and occasionally internationally).
Preferred
• Bachelor’s degree in event management, international development, public administration, business, communications, environmental studies, or a related field.
• Familiarity with climate, green growth, or development‑oriented programs (preferred but not required).
