Position Overview
The People and Operations Assistant will play a key role in maintaining a well-organized, efficient, and productive work environment. You will handle a variety of administrative and clerical tasks and be the go-to person for office-related needs, ensuring our team has the support they need to thrive.
Roles and Responsibilities
• Manage daily office operations, including supplies, equipment, and general upkeep
• Coordinate meetings, appointments, and team events
• Support onboarding and offboarding of employees
• Maintain and organize company records, documents, and databases
• Drafting correspondences
• Assist in visa, pass and permit applications
• Liaise with vendors, service providers, and landlords on various office related matters
• Assist in basic HR, finance, or procurement tasks (filing receipts, tracking expenses, etc.)
• Provide general administrative support to management and team members
• Ensure compliance with internal processes
• Arrange transport and accommodation for company visitors and staff when needed
• Dispatching/delivering correspondences to various offices and collecting parcels when required
• Assisting the supply chain unit in receiving inventories and doing monthly/weekly counts
Skills And Proficiencies
• Must be an excellent computer literacy with strong knowledge of Microsoft office package
• Excellent presentation skills
• Excellent interpersonal, communication, and coordination skills
• Reporting, professionalism, multitask, teamwork, and confidentiality
Qualifications
• A minimum of a diploma or bachelor’s degree in public administration, Human Resource Management, Business Administration, international relations, or a social science field.
• Attentiveness to detail in ensuring accuracy and precision in handling information, reports, and administrative tasks.
• Exceptional English written and oral communication skills, strong critical thinking, problem solving, working-centric approach, purpose-driven thinking, accountability, and time-punctuality
• Ability to work independently, but in a consultative environment with other staff and supervisor
